Replacement quotes don't wait for the first cold night.

A boiler, a condenser, a rooftop unit: replacements are the biggest checks your customers write all year, and they get three bids. The shop that answers questions first usually gets the job.

Where quotes go missing.

Between October and January the phones ring all day, and half the no-heat calls end in a replacement estimate. Those estimates go out from the truck at 7 pm and then sit, because the office spends the next morning booking more no-heat calls.

By the time anyone calls back, the customer has two other quotes and a brother-in-law with opinions. The one who explained the quote first is usually the one who gets the deposit.

When it gets busy.

Busy seasonOctober to January

When the first cold snap hits, switch to the shorter heating-season cadence in Cadences. Quotes sent that week get a text on day 1 instead of day 2, and the call task moves up to day 6. Switch back in March.

Replacement estimates go out from the truck at night, after the last no-heat call. Send them before you leave the roof, and the day 1 text is already scheduled when the office opens.

Questions from heating and cooling shops.

Can techs send from a basement with no signal?

Yes. Drafts save on the phone and send when it finds signal again. The quote's timeline shows when it actually went.

Do good, better, best options work for equipment tiers?

That's what they're for. Each option has its own lines, total and deposit, and the customer picks one when they sign.

Can we quote yearly service agreements?

Yes. Use a line priced per year and tag the quote Recurring. It shows as /yr on the customer's copy.
