Build a follow-up cadence
Steps, days, times and merge fields: write the follow-up once and let it run on every quote.
A cadence is a short list of follow-up steps that starts when a quote is sent. You write it once. Carbonset fills in each customer's details and runs it until they sign, reply or say no.
Steps
A cadence holds up to 6 steps. Each step is a text, an email or a call task, set to a day after the send date and a time of day. The last step can be up to 45 days out. Texts and emails go to the customer. Call tasks go to your own team, on the rep's list for that morning.
| Step | Day | Time | Channel |
|---|---|---|---|
| 1 | Day 2 | 9:00 | Text |
| 2 | Day 5 | 7:30 | |
| 3 | Day 9 | 9:00 | Call task |
Merge fields
Type a field in braces and each quote fills in its own value. If you misspell one, the editor suggests the closest match before you save.
| Field | Becomes |
|---|---|
| {first_name} | Marisol |
| {company} | Pellwick Electric |
| {rep_first} | Dev |
| {quote_no} | 001047 |
| {quote_link} | q.carbonset.example/1047 |
| {job_title} | service upgrade |
| {option_count} | three |
| {open_count} | 3 |
| {valid_until} | Thu, Oct 29 |
Weekends
Weekends are off by default. A step that lands on a Saturday or Sunday moves to Monday at the same time, and the quote's timeline says so. Turn weekends on for jobs where people decide at home, like a kitchen or a roof.
Editing a cadence in use
You can change a cadence while quotes are using it. Open quotes pick up the change from their next step. Steps already sent stay sent, and nobody gets day 2 twice.
Keep texts short. A text over 160 plain characters is billed as two segments, and long texts get more STOP replies.
Starting points
- Residential replacement: text day 2, email day 5, call task day 9. Big home jobs with other bids.
- Service and repair: texts on day 1 and day 4. Small tickets.
- Commercial bid: email day 3, call task day 7, email day 14. Proofs, POs and bid dates.
- Large job, two decision makers: evening email and text, a call when both are home, weekends on.
